Rules for filing JMC papers.
There are several classes of files:
Any document filed should be marked so that
it can be refiled without looking it up in the computer file again.
It is important to do the filing promptly so I can give something
to be filed and be confident that I can retrieve it even if I
want it right away. If necessary I can prioritize.
1. The residual file is the date file. Things not belonging to
other categories are to be filed by date and the name of the
document and an accession number that is written on the document
plus keywords written on the document are to be entered in the
computer file.
2. Person files. Anything labelled "person" or "people" or "name"
goes into a file under that person's name. Some institutions are
treated as persons. If it is necessary to make a new folder, this
should be done.
There doesn't need to be a computer file of this.
3. Topic files. They are treated like date files except that things
are to filed by topic. There is also a computer file for topic files.
4. Reports are to be filed by date.
5. There is a box in Fran's office for reports to be given away. If
no-one takes them and the library doesn't want them they are wastebasketed
after a month.
6. JMC notes are to be filed by date. This includes both loose paper
and notebooks. There is to be a computer file. Bundles of loose notes
can be entered by date, but if tables of contents are listed these should
be entered in the computer file. Loose notes filed at a given time can
be fastened together with paper clips so they can be separated later
if I take the trouble.
